
Friends of the Porter Valley Duck Race
Terms and Conditions.
1. Entering the Duck Race means you accept these terms and conditions.
2. The Duck Race is an overall ‘event’ run by the Friends of the Porter Valley (FoPV), registered charity number 1069865. It comprises of both a fair style selection of stalls outside Endcliffe Park Café, and a Race.
3. The Race involves the release of 2,500 plastic ducks into the River Porter at Endcliffe Park, upstream of the Holme Wheel Dam. The ducks are placed at random into a metal tower and suspended above the river. They are then released through a trap door, and float downstream for approximately 800 meters, where the first 40 ducks are collected in a tube at the finish line, in the order they arrive.
4. Each plastic duck is numbered from 1 to 2500
5. Due to the popularity of the race, and the multiple points of sale, some duck numbers may have multiple owners. In the event that these are among the winning ducks, all the owners are contacted and offered a prize.
Eligibility to enter
6. Attendance at the Event is free. Entering the Race requires a purchase.
7. By purchasing a racing duck, you confirm that you are eligible to claim any prize you may be offered.
8. There is no maximum number of racing ducks that an individual can purchase, however the online system has a limit of 20 ‘seats’ (six ducks per seat) per order.
How to enter
9. To enter the Race you can purchase tickets online at www.FoPV.org.uk, or in person on the day in Endcliffe Park. They will also be available at the Endcliffe Park Café, and Forge Dam Café for up to five weeks before the race day.
10. Online tickets are for groups of six ducks only. Tickets for single ducks can be bought at the cafes, or on the day in Endcliffe Park.
11. With online duck sales you need to buy a 'virtual seat' in one of our 'Virtual Grandstands'. Each seat is allocated a group of six ducks, for example; Stand A, Row A, Seat 1 [AA1] (Ducks 1 to 6), Stand A, Row A, Seat 2 [AA2] (Ducks 7 to 12) etc
12. FoPV will not accept responsibility if contact details provided are incomplete or inaccurate.
The Prizes
13. The prizes are donated by local business and individuals.
14. FoPV’s acceptance of, or use of particular brands as prizes does not imply any affiliation with, or endorsement of such brands.
15. All prizes will be considered to be of equal value.
16. The winners will be identified by the order each duck number crosses the finish line, and held in the sealed ‘winners’ tube.
17. The prizes will be offered to each winning owner by phone in the order the ducks finished. Each winner will be able to choose from all of the prizes available at that point in time. No cash alternatives will be offered.
Winner announcement
18. To ensure that all ticket details are collected and verified, the winners will be announced the day following the race. (There will be no announcement immediately following the race)
19. The winners will be contacted during the week following the race via the phone number provided during the purchase of the ticket.
20. We will attempt to contact the winners by phone, however if there is no reply a message will be left on an answer phone for them to return the call.
21. Whilst awaiting return calls we will continue to contact winners of lower placed ducks, and the full list of remaining prizes will be made available to them.
22. Where there is no option to leave a message we will make two more attempts only.
23. If it is not possible to contact a winner after five days, they will lose their right to a prize.
Receipt of the prize
24. You will be offered a location to collect your prize in Sheffield. If you are unable to arrange collection of your prize you may be asked to pay for packing & postage, or forfeit your prize.
Cancellation
25. FoPV reserves the right to cancel the race as described in section 3 above. Reasons for this include, but are not limited to;
a) Dangerous river levels which are considered to be life threatening to volunteers and visitors.
b) Severe weather conditions which pose a risk to safety.
c) Unexpected unavailability of volunteers due to illness etc.
26. In the event of such a cancellation, FoPV will arrange for the ducks to be manually drawn from their storage boxes, under the supervision of at least two trustees. Depending on the reason for the cancellation, this will ideally be on the same day by random individuals, but no later than five days after the original race day. Winners will then be contacted as above.
Data protection and publicity
27. You consent to any personal information you provide in entering the Duck Race being used by FoPV for the purposes of administering the Duck Race.
28. The winner agrees to the release of their first and second name.
29. An announcement of the winners first name and second name will be made via FoPV’s website from the day following the race.
Limitation of Liability
30. FoPV does not accept any liability for any damage, loss, injury or disappointment suffered by any entrants as a result of either participating in the Duck Race or being selected for a prize.
31. FoPV does not provide any form of practical or IT support for entering this event.
General
32. The decision of FoPV regarding any aspect of the Duck Race is final and binding, and no correspondence will be entered into.
33. FoPV reserve the right to amend these terms and conditions at any time, without prior notice.
